Three reliable ways to change fonts everywhere in an InDesign document. Choose the method that fits your situation, then follow the steps exactly.

Method 1 — Replace a font everywhere (fastest)

Use when you want to swap one font family for another across the whole file (including master pages and styles).

1. Open the document.

2. Go to Type ▸ Find/Replace Font….

3. In the list, select the font you want to replace (e.g., Minion Pro).

4. In Replace With, choose the new font family and style.

5. (Recommended) Check Redefine Style When Changing All so paragraph/character styles are updated too.

6. Click Change All → Done.

This is the cleanest “global replace” and also resolves missing-font warnings.

Method 2 — Force a new font everywhere text appears (ignores which font it was)

Use when fonts are inconsistent or you didn’t use styles consistently.

1. Press Ctrl+F (Windows) / Cmd+F (Mac) to open Find/Change (Text tab).

2. Leave Find What and Change To blank.

3. Click the Find Format box (the empty field below) → Basic Character Formats → do not set anything → OK.

4. Click the Change Format box → Basic Character Formats → set Font Family (and Style, if needed) to your new font → OK.

5. In Search, choose Document. Check Include Master Pages, Include Footnotes, and Include Hidden Layers (from the hamburger menu if available).

6. Click Change All.

This reapplies the chosen font to all text, overriding local formatting. If you rely heavily on styles, prefer Method 1 or 3.

Method 3 — Redefine your styles (best practice)

Use when your document is built on Paragraph/Character Styles (recommended for ongoing projects and templates).

1. Open Paragraph Styles and Character Styles panels (Window ▸ Styles).

2. Identify the base styles (e.g., “Body,” “Heading 1”) that others inherit from.

3. Right-click a style ▸ Edit “Style Name”…

   • Go to Basic Character Formats → change Font Family (and Style).

   • Click OK.

4. Repeat for other styles as needed.

5. In the Paragraph Styles panel menu, choose Select All Unused (optional) to clean up.

6. Remove local overrides: select all text (Ctrl/Cmd+A twice in a story) → click the Clear Overrides button (¶ with a plus sign slash) in the Paragraph Styles panel.

If your styles are set up with inheritance (child styles based on a base style), changing the base style updates everything at once.

Working across multiple files (books)

If you have a Book file (.indb):

• Open the Book panel → panel menu Find/Change… to run Method 2 across all documents in the book, or

• Use Synchronize Options… to push a master set of styles (Method 3) to every document, then Synchronize.

• You can also open each doc and run Type ▸ Find/Replace Font… (Method 1) on each; quick if there are only a few.

Quality checks after changing fonts

• Reflow: New fonts can change line breaks. Check key pages, tables, captions, and overset text (look for the red plus in text frames).

• Glyph coverage: Ensure the new font supports needed symbols/accents.

• Bold/Italic mapping: Verify styles use real font styles (not faux).

• Master pages and Nested Styles: Confirm headers/footers and style-driven formatting still look correct.

Quick decision guide

• I just need “Font A → Font B” everywhere → Method 1.

• My file has mixed fonts and overrides → Method 2.

• Well-structured with styles / future-proof → Method 3 (preferred).
