This SOP provides a clear, repeatable workflow for:
1. Correcting partial subscription charges in Stripe.
2. Scheduling the remaining unpaid portion for a specific date.
3. Resetting subscription billing cycles to a new monthly billing date.
4. Updating RISE CRM so subscription data remains synchronized.
This procedure applies when partial payments have processed,
Stripe attempts to combine past-due and upcoming charges, or when a client’s
billing date must be moved to a new day of the month.
Billing staff and account managers must follow each step
exactly to ensure accurate billing and CRM alignment.
• Access to Stripe Dashboard
• Access to RISE CRM
• Subscription ID and customer information
• Valid payment method on file
• Partial Charge: Prorated amount collected during
subscription updates.
• Billing Cycle Anchor: Monthly billing reset point.
• Cancel at Period End: Standard method for resetting cycle dates.
PHASE 1 — Identify the Issue
1. Navigate to the customer in Stripe: Customers → Select customer.
2. Review invoices for partial charges and remaining balances.
3. Review subscription billing dates.
PHASE 2 — Create a Manual Invoice for Remaining Balance
1. Go to Customers → Invoices → Create Invoice.
2. Add invoice line items for unpaid balances.
3. Select “Autcharge customer” and choose the saved card.
4. Select “Schedule charge date” → choose the correction date (e.g., Nov 26).
5. Finalize the invoice.
PHASE 3 — Reset the Subscription Billing Cycle
Stripe does not allow modifying the billing cycle anchor for active
subscriptions.
To reset:
1. Open each subscription → Cancel → select “Cancel at period end.”
2. Re-create the subscription:
• Start date: New billing date (e.g.,
Nov 26)
• Billing cycle anchor: Same date
• Proration: OFF
• Use saved payment method.
PHASE 4 — Update RISE CRM
1. Go to Clients → Select client → Subscriptions.
2. Update existing subscription records OR delete/recreate them to match
Stripe.
• First billing date: New billing date
• Next billing date: New billing date
• Cycle: 1 Month.
PHASE 5 — Verification
1. Confirm Stripe’s manual invoice is scheduled correctly.
2. Confirm subscriptions start on the corrected date.
3. Confirm CRM matches Stripe.
NOTES
• Always cancel at period end (never immediate).
• Always update Stripe before CRM.
• Keep autopay enabled.
• Maintain audit consistency across systems.
